Terms & Conditions

These Terms & Conditions outline the agreement between you (the client) and me, Amy Harwin, when you access coaching, wellbeing or emotional support services. Please read them carefully before working with me.

By booking a session, you agree to these terms.

Scope of Service

I provide:

​

  • coaching

  • emotional wellbeing support

  • preventative support for adults, parents, children and young people

  • school‑based wellbeing and leadership sessions

  • non‑clinical guidance and reflective space

​

I do not provide:

​

  • therapy

  • counselling

  • crisis intervention

  • clinical mental health treatment

​

If at any point I believe you or your child would benefit from a different type of support, I will discuss this with you sensitively and signpost where appropriate.

Confidentiality

Everything shared in sessions is confidential except in the following circumstances:

​

  • you or someone else is at risk of harm

  • there is a safeguarding concern

  • a child discloses something that must be reported

  • I am legally required to share information

​

Where possible, I will always aim to discuss this with you first.

​

I keep minimal notes for continuity and safeguarding. These are stored securely and only accessible to me.

Working With Children & Young People

For children under 18:

​

  • A parent/carer must provide consent

  • I may share general themes or concerns with parents/carers or the school if it supports the child’s wellbeing

  • I will not share private details unless there is a safeguarding concern

  • I work in partnership with pastoral teams when sessions take place in schools

​

My approach is relational, gentle and child‑centred.

Session Length & Format

Sessions are typically:

​

  • 60 minutes for adults

  • 40–50 minutes for children and young people

  • Delivered in person or online

​

School sessions may vary depending on the programme.

Fees & Payment

  • Fees will be clearly communicated before booking

  • Payment is due at the time of booking unless otherwise agreed

  • Schools and organisations may be invoiced monthly

  • Late payments may result in sessions being paused

Cancellations & Rescheduling

I understand that life happens.

To keep things fair and consistent:

  • Cancellations with 24 hours’ notice can be rescheduled

  • Cancellations with less than 24 hours’ notice may be charged in full

  • Missed sessions (no‑shows) are charged in full

​

If I need to cancel due to illness or emergency, I will reschedule as soon as possible.

Safeguarding

I follow statutory safeguarding guidance.

​

If I believe a child or adult is at risk, I have a duty to act. This may include contacting:

​

  • parents/carers

  • school safeguarding leads

  • relevant authorities

​

I will always prioritise safety.

Your Responsibilities

By working with me, you agree to:

​

  • attend sessions on time

  • engage honestly and openly

  • seek appropriate medical or therapeutic support if needed

  • inform me of any changes that may affect your wellbeing or safety

​

Coaching and wellbeing support work best when approached collaboratively.

My Responsibilities

I agree to:

​

  • provide a safe, respectful, non‑judgemental space

  • work within my training, experience and scope

  • maintain professional boundaries

  • keep your information secure

  • act in line with safeguarding and data protection requirements

Data Protection

Your personal information is handled in line with UK GDPR.

Complaints

If you have concerns about any aspect of your experience, please contact me directly. I will always aim to resolve issues calmly, respectfully and promptly.
